To be able to use these models correctly, you must first activate the macros at startup.

Instructions:
Move the cursor to the yellow shaded area in Line 1 of the Section 2. The Journal Entry form will accept up to 26 separate transaction lines.
DESCRIPTION - Each Journal Entry line must contain a description. The description can be up to 30 characters long and should include the original Banner Document Code for any transaction that is being corrected. The Description provided will be entered into Banner when the Journal Entry is posted.
DEBITS/CREDITS - Only one transaction, either a Debit or a Credit, can be entered on each line of the Journal Entry form. A valid journal entry must have at least two lines of information (a Debit and a Credit). All Debit and Credit values must be entered as positive numbers. The sum of all Debits must equal the sum of all Credits. Debits and Credits are not applicable to Budget Transfers.
Section 3
Move the cursor to the yellow shaded area in Line 3. This area should be used to provide a more detailed explanation for the Journal Entry. It is not an optional field. The explanation will not be input into Banner.
Section 4
The Journal Entry is now ready for sending. Before sending is initiated, look in the space reserved for the Approval Signature to make sure no error messages appear. If an error message does exist, find the cause of the error by reading the error messages listed immediately below the Journal Entry. Once all errors have been cleared, send the Journal Entry by clicking on the SEND button. Also make sure to print a copy and get appropriate signiatures for back up.

This spreadsheet can be used to enter journals into PeopleSoft using the journal load program (GLS9002.sqr)
There are certain rules to adher to for this program to be successful. Below is a list of some of these rules.
As additional rules are determined, they will be added to this list.
This spreadsheet contains many macros and processes that make it successful for the download. Please do not change or move any columns or change any formatting of the cells.
Make sure that you change the setup for each new journal that you download. This spreadsheet will download the file into the C:\temp directory. After this, make sure that you move the entry to the proper directory for the PeopleSoft upload program.
When the journal is downloaded, the file will overlay an existing file of the same name. Therefore if you find that you have made an error in the first download, make the correction and download again.
The PeopleSoft system will not load a journal if there already exists a journal with the same Business Unit, Journal ID, and Date. Make sure that if this is a recurring entry, that the date is changed to the new month.
If an entry was uploaded to PeopleSoft and found in error (and has not been budget-checked yet), the entry can be deleted in PeopleSoft first before a correct entry is loaded.
If an entry was uploaded to PeopleSoft and found in error (and has been posted) then the original entry needs to be unposted in PeopleSoft and the Excel entry requires a change to either the Journal ID or Date to successfully load a corrected entry.
To insert a row in the journal sheet: Place the cursor on the row number and press Ctrl-I. This will invoke a macro that will automatically insert a line above the line that your cursor was located.
To delete a row in the journal sheet: Place the cursor on the row number and press Ctrl-D. This will invoke a macro that will automatically delete the row that the cursor was located on.
The macros associated with the downloading of the journal lines expects a positive value in either the Debit, Credit, or the Statistical Amount field. Do not input any lines with zeros or blanks values.
If a line ends up with not having a value, then use the Ctrl-D function to delete the line.
Validation limitations
This Excel program does not check for the validity of values in the spreadsheet. Please ensure that the values are correct before downloading.
The GLS9002 does do some validation and will not load the journal if certain values are not correct. Ledger Group and Business Unit are among these
Make sure that the journal source is a value set up in the PeopleSoft system. If the source is incorrect, Gls9002 program will still load the journal, but you will be unable to open the journal in PeopleSoft,
